OSA Risk Management for Volunteers

All volunteer risk management registration and club database registration will be done online through Gotsoccer starting this fall.  Please use the link(s) at the left to access manuals and other information.  

If you are an individual volunteering with a club and/or looking for your login, please contact your organization to get registered as a volunteer and get your login.

NEW Registration & Risk Management Processes for Fall 2008!
(Online Volunteer & Database Registration in Gotsoccer)
To All Clubs and Countries:
 
The Oklahoma Soccer Association is pleased to announce that all members are now able to utilize the Gotsoccer program online at www.gotsport.com immediately to submit all of their required volunteer risk management registration and upload the required player database registration files for the 2008-2009 seasonal year.  This process is a valuable resource to our members to help with the ease of submission and continuity of our statewide membership database.
 
Because registration and risk management deadlines will soon be upon us, the Oklahoma Soccer Association would like to review the registration and risk management processes from our workshop certification course that will start this fall of 2008.   Please check with your country association if you have questions on your club login for Gotsoccer, the country deadline dates, or their registration requirements.  This is critical information for all members, so please make sure your club receives this information.
 
Due by September 1st, from each club and country is online submission of all your volunteer risk management online forms through the Gotsoccer program.  PRINT FORMS WILL NOT BE ACCEPTED.  Each club and/or country association with officers and volunteers will need to input ALL of their volunteers into Gotsoccer by creating coach or team official profiles and input names and email addresses.  The system will issue each volunteer a login and email the volunteers.  Once a volunteer receives the email with his/her login information, then that volunteer may complete the required risk management online disclosure form securely by going to the “Background Checks” link on the gray menu bar and submitting his/her information.
 
Once a volunteer is approved, staff may then be added to rosters.  No volunteer may participate without a volunteer disclosure on file, and no coaches, managers, or other team staff will be added to rosters until they have been approved.  Volunteers include administrators, board, coaches, assistant coaches, trainers, managers, referees, volunteers, and anyone 18 and older that works with youth.  It is the club’s responsibility to follow up in the Gotsoccer system to make sure all volunteers complete the process.  Within your club account under the coaches or team officials sections, there is a status column which will list whether a volunteer is “N/A” – person does not have approval and has not applied; “Pending” – person has applied for a background check, but not processed; “Approved” – person has been reviewed and approved; or “Denied” – person has been reviewed and denied by the state.
 
While it is preferred and best that a volunteer input his/her own vdf online, if a volunteer does not have any way to obtain or access an email address to complete a form online; then a club may collect a print volunteer form for the club risk management coordinator to input that volunteer’s registration online through the Gotsoccer program.  The club must have the volunteer’s approval to collect and input the information.  The print form must be fully completed with all of the necessary information, answers to questions, and signed authorization, and the club will be required to keep that form secured and on file for a year.  Please remember the seasonal risk management materials: club RM Coordinator, Field/Goal, and Compliance forms are all still due September 1st.  These forms are in the Risk Management section of the Administration tab on OSA’s website and may be submitted by email or mailed.
 
Due on October 31st, from each country (or those clubs without a country affiliation) will be electronic submission of all players along with club registration report, player and team registration fees, and remittal sheet.  All clubs are required to submit a database of their players and will be required to upload their database into the Gotsoccer program.  Country associations will be hosting training sessions, so please check with your Country Registrar for more information.  Additional training and other important information will be posted on OSA’s website at www.oksoccer.com, so please check our website continually for links, user manuals, details, and updates.  Don’t forget about the Registrar and Risk Management certification courses that will also be coming up at our annual workshop in February.
